Data Protection Act 2018

The Data Protection Act 2018 requires all organisations to provide information about how they will use their personal data

A key element of the Data Protection Act 1998 (DPA) and the EU General Data Protection Regulation (GDPR) is the requirement to provide transparency and access to the data held and the use made of the data collected.

The Board is committed to providing the necessary transparency and providing access to the information we hold about you and how the club will use this personal data.

 What information do we hold?

• Members’ Names, Postal and Email Addresses and Telephone numbers.
• Speakers’ or Entertainment or Equipment Agencies used by the Club to provide support to the social programme
• Speakers, Entertainers or Equipment suppliers Names, Postal and Email Addresses and Telephone numbers, with details of their Services
• Suppliers; Names, Postal and Email Addresses and Telephone numbers, with details of their Products and Services

. Why do we collect your personal information?

• To record a list of members and manage subscription payments
• To communicate information on meetings, events, competitions and other matters of interest to members
• To plan suitable future activities to cater for all our members

 Who is collecting it?

• The Data Controller is the Chairman
• Members of the Board and specialist members will be authorised by the Data Controller as Data processors to meet the operational needs of the society

How is Data collected?

• Personal Data may be collected as hard copy or in an electronic format
• The data will be stored in electronic format in a secured computer environment
• Hard copy will not be copied without the consent of the data controller
• All hard copy data will be returned to the data controller for storage or disposal

 Consent for data collection & storage

• All members of The Windle Bowling Club are asked for their personal details and for their consent to store this information.
• This privacy notice is displayed on the Windle Bowling Club website and a copy is given to all prospective members.

The sharing of Data

Members Personal data held by the society will not be shared for with any third party without the written consent of the member.

 Retention of Personal Information

• Membership data will be reviewed on an annual basis.
• Data relating to past members will be deleted as part of this review
• Members failing to pay their subscription will be assumed to have left.
• Other records will be stored only for as long as it is necessary and disposed of in a timely and secure manner

 Rights of individuals

The Data Protection Act 2018 enshrines the following rights for individuals:

• the right of access;
• the right to rectification;
• the right to erasure;
• the right to restrict processing;
• The right to object.
